Privacy Policy

CoolerScout watches the inside of beverage coolers so shop staff know when a shelf needs restocking. This policy explains exactly what that involves, in plain terms. If anything here is unclear, email privacy@coolerscout.com and we'll answer it.

What we collect

Your account

A mobile phone number, and a name if you give us one. The phone number is how you sign in — we text you a code instead of asking you to invent a password. We do not ask for, and cannot see, a password.

Photographs of your cooler shelves

Each camera takes one still photograph of the inside of the cooler it is mounted in, on a schedule you control (five minutes by default). Those photographs are sent to our servers, checked for empty shelf space, and then deleted.

Photographs are deleted automatically after four hours. This is enforced in two places: the service deletes each cooler's older frames every time a new one arrives, and the storage itself expires anything that survives that. We are not building an archive of pictures of your premises.

The cameras point into a cooler cabinet at close range. They are not security cameras, they do not record video or audio, and they are not intended or suitable for watching people. If a camera can see anything beyond the cooler it is mounted wrong — move it.

Shelf results

For each photograph we keep the outcome — which shelf slots were stocked, low, or empty, and when. This carries no image. It is what makes history and trends possible, and it is kept for up to 30 days on the Single and Store plans, 90 days on Chain.

Camera health

Each camera reports that it is alive, what WiFi network it joined, how strong the signal is, its local network address, and its firmware version. This is what lets the app tell you a camera has gone offline instead of quietly showing you stale information.

What we do not collect

  • No payment card details — payments are handled by a payment processor, not by us.
  • No location tracking, no advertising identifiers, no device fingerprinting.
  • No audio or video. Still photographs only.
  • No contacts, photos, or anything else from your phone.

How we use it

To tell you when a shelf is empty, to show you the picture that decision was based on, to show you which shelves empty most often, and to let you know when a camera has stopped reporting. That is the whole list.

We do not sell your data, and we do not use it for advertising. We do not use your shelf photographs to train models for anyone else's benefit.

Who else is involved

Everything runs in Amazon Web Services in the United States. Alerts are delivered by Amazon SNS (email and text) and by Expo's push service (notifications to your phone). These providers process data on our instructions to deliver the service, and for nothing else.

How long we keep things

  • Shelf photographs — 4 hours, then deleted automatically.
  • Shelf results — 30 days, or 90 days on the Chain plan.
  • Your account — until you delete it.
  • Sign-in sessions — 90 days, then they expire and you sign in again.
  • Sign-in codes — 10 minutes, and they are single-use.

Security

Everything travels over HTTPS. Photograph storage is encrypted and blocks all public access — images are only ever served through short-lived private links.

Cameras hold no cloud credentials. Each one is issued its own token at setup, valid only for uploading pictures of its own cooler and reporting its own health. Removing a camera in the app revokes that token immediately. Sign-in codes and session tokens are stored as hashes, never in plain form, and your session lives in your phone's Keychain.

Your choices

  • See your data — everything we hold about your coolers is visible in the app.
  • Delete your account — Settings → Delete account. This removes your sign-in and signs you out everywhere. Your coolers and cameras keep running, because they belong to the business rather than to one handset; to shut those down, remove the cameras first.
  • Turn off alerts — in your phone's notification settings, or by removing the email subscription from any alert email.
  • Ask us anything — privacy@coolerscout.com. If you are in a place with a legal right to access, correct, export, or delete your data, we will honour it; write to us and we will act within 30 days.

Text messages

We text you a code when you sign in. That is the only unprompted message we send. Standard message rates may apply. We do not send marketing texts.

Children

CoolerScout is a tool for retail businesses and is not directed at children. We do not knowingly collect information from anyone under 13.

Changes

If this policy changes in a way that affects what we collect or how long we keep it, we will say so in the app before the change takes effect. The date at the top always reflects the current version.
